Who is responsible
HammondPOS is operated by DRH24 Limited, company number 15607605.
For information that we use to administer HammondPOS accounts, provide support, secure the service and manage customer relationships, DRH24 Limited is the data controller.
Businesses using HammondPOS normally control the information they enter about their staff, customers and transactions. For that information, the business is normally the data controller and DRH24 Limited processes the information on its behalf to provide the HammondPOS service.
Questions or privacy requests can be sent to hello@hammondpos.co.uk.
Information used by HammondPOS
Depending on the features used, HammondPOS may process:
- Business and account information, including contact names, email addresses, telephone numbers, trading addresses and venue details.
- Website enquiry and signup source information, including the page used, referral address and campaign labels included in the link where supplied.
- Staff information, including names, roles, permissions, user identifiers and operational audit records.
- Terminal information, including terminal names, unique device or terminal identifiers, onboarding records and technical configuration.
- Product, category, price, tax, stock, ingredient, recipe and modifier information.
- Orders, tables, receipts, refunds, discounts, vouchers, payment types, payment status and reporting records.
- Payment-provider references, terminal identifiers, authorisation information and masked card information such as the last four digits, where supplied by an integrated payment provider.
- Loyalty-member information where the module is enabled, including customer contact or account identifiers, membership and QR identifiers, participating venue, points balances, earn history and reward-redemption records.
- Customer-advised allergen requirements and other service notes attached to an order. HammondPOS does not require these order notes to identify the customer.
- Images uploaded for legitimate business use, such as product or venue images.
- Support messages, screenshots and other information supplied when requesting assistance.
- Technical and diagnostic information needed to investigate errors, protect accounts and maintain the service.
HammondPOS does not collect or store complete payment card numbers, card security codes or customers’ online banking credentials.
How information is used
Information is used only where necessary to:
- Provide, operate and secure the HammondPOS service.
- Bind authorised terminals to the correct business account.
- Authenticate staff and apply roles and permissions.
- Process orders and record payment outcomes.
- Operate an enabled loyalty programme, calculate points, display balances and apply configured rewards.
- Produce receipts, kitchen tickets, reports and audit records.
- Provide customer support and investigate reported problems.
- Meet contractual, accounting, security and legal obligations.
The HammondPOS iOS application does not use personal information for advertising tracking and HammondPOS does not sell personal information.
Payments
Customer card payments are processed by the payment provider selected by the business. HammondPOS may send payment requests and receive the status and reference information needed to associate the payment with an order.
Subscription billing for the HammondPOS service is arranged through an external payment provider. Payment and banking information entered directly with that provider is handled under the provider’s own privacy policy.
Allergens and order notes
Customer-advised allergen information may be recorded against an order to help the venue prepare and serve it appropriately. HammondPOS does not require allergen information to be attached to an identifiable customer.
The business using HammondPOS is responsible for deciding what information should be entered, establishing the appropriate lawful basis and ensuring staff use this feature appropriately.
Loyalty accounts
Where a venue enables HammondPOS Loyalty, the venue normally decides the programme rules, participating locations and the purposes for which customer information is collected. The venue is normally the data controller for its loyalty members and DRH24 Limited processes the information on the venue's behalf to operate the service.
Loyalty information may include the details needed to create or access an account, display a customer QR identifier, calculate points, show balances, apply configured rewards and retain an audit history of earning and redemption.
Customers should contact the participating venue first about their membership, reward rules or a request concerning loyalty information. DRH24 Limited will assist the venue with appropriate requests.
Offline device storage
Where offline continuity is enabled, a provisioned device may retain a device-local working set and supported queued activity so agreed core till workflows can continue through a temporary internet interruption. That information is synchronised with HammondPOS after reconnection.
Businesses should keep provisioned devices physically secure, use individual staff access, and promptly deactivate any device that is lost, replaced or no longer authorised.
Sharing and service providers
Information may be shared with service providers used to operate HammondPOS, including hosting and infrastructure providers, communications and support providers, subscription billing providers and integrated payment providers such as Dojo.
Information is only shared as required to provide the relevant service, comply with the business customer’s instructions, protect the service or meet a legal obligation. Service providers are required to protect information appropriately.
Where information is transferred internationally, appropriate contractual or legal safeguards are used where required.
Retention and deletion
Operational information is retained while needed to provide the HammondPOS account and in accordance with the business customer’s instructions.
Transaction, payment, accounting, security and audit records may need to be retained for legitimate business, contractual or legal purposes. Support and enquiry records are retained only for as long as reasonably necessary to handle the request and maintain appropriate service records.
When an account ends, information is deleted, anonymised or retained only where continued retention is required for legal, security, dispute-resolution or accounting purposes. Residual backup copies are removed through the normal backup-retention cycle.
Requests concerning information entered by a venue should normally be made to that venue first. DRH24 Limited will assist its business customers with appropriate access, correction or deletion requests.
Your rights and choices
Depending on the circumstances, you may have rights to request access to, correction of, deletion of, restriction of or objection to the use of personal information, and to request portability of certain information.
Requests can be sent to hello@hammondpos.co.uk. You may also raise a concern with the UK Information Commissioner’s Office.
Website storage and measurement
The HammondPOS marketing website may use essential browser storage to remember functional choices, including your optional-measurement preference.
With your permission, the Google tag may use advertising and analytics storage to measure whether advertising resulted in an enquiry or setup request. Advertising storage and personalisation remain denied unless you select “Accept optional”. Selecting “Reject optional” does not prevent you from using the website or contacting HammondPOS.
This optional website measurement is separate from the operational HammondPOS application.
Support widget
The Help widget is provided through Help Scout. When you open it or send a support message, Help Scout processes the information needed to provide the help and communication features.
Please do not send payment card details, passwords, onboarding keys, credentials or staff PINs through website or support forms.
Changes to this information
This information may be updated when HammondPOS features, service providers or legal requirements change. The current version and its update date will remain available on this page.
